Options to Meet Move Update

Mail First-Class
Non-discounted, full-rate first-class mail is not required to meet the Move Update standards.

  • You will not receive information about address changes or updated mailing information and will not be able to update your lists.

Add “Or Current Resident”
Adding “Or Current Resident” to the name line of your mail meets the Move Update standards.

Ancillary Service Endorsements
See formatting standards
Add one of the endorsements, per formatting standards below, such as: ADDRESS SERVICE REQUESTED or RETURN SERVICE REQUESTED to your mailpiece.

  • The difference between each endorsement includes what kind of information the USPS collects, what they do with it, and how much it costs.
  • Each department needs to set aside time to update the records with any new information. This information needs to be documented continuously.
  • NCOA must also be used with this option UNLESS you have mailed and updated the addresses on your list within 95 days (see Move Update Decision Tree)

National Change of Address (NCOA)
Please submit your electronic mailing list to the Post Office or to Public Affairs, who will submit it to a company that will run it through the National Change of Address Linkage System.

  • NCOA checks specific names: if someone is Christine Doe in the NCOA database, and the piece has been addressed to Christy Doe, the NCOA software will bounce it as undeliverable. Because the NCOA system is so strict, you will not receive the most complete address change information in return. If you want to receive complete address change information, you will need to use ancillary service endorsements in addition to the NCOA software option (see previous option).
  • The department will need to set aside time to update the records with any new information. This information needs to be documented continuously.
  • NCOA software cannot be purchased by the College to do the checking in-house. The NCOA software is licensed to a limited number of processing services in order to maintain the privacy of change-of-address information.
  • Paperwork must be presented to the College Post Office if this option is used; mail will not go out without proper confirmation.
  • The Allegheny College Post Office and The Office of Public Affairs can suggest vendors that provide the NCOA service.

Working with an Outside Vendor/Purchasing a List
When working with an outside printer/mailhouse or purchasing a list from an outside source, it is the department’s responsibility to obtain paperwork stating that the Move Update requirements have been met. Paperwork must be presented to the College Post Office if this option is used; mail will not go out without proper confirmation.

  • Can be placed in 1 of 4 places (see picture)
    • Below return address
    • To left of indicia
    • Below indicia
    • Above mailing address (printed or added to mailing label)
  • 1/4″ clear spaces on all sides
  • 8-point type
  • All capitals
  • Helvetica Bold or Arial Bold
  • Must stand out clearly against background
