After the discussion, if there is consensus about the feasibility of the new program need, the chair can reach out to the Assistant Dean for Global Education, Brita Doyle, about putting together a formal proposal for the new program.
The proposal is put through the established shared governance procedures for reviewing new programs with the curriculum committee and faculty.

Propose a New Global Learning Seminar
Calls for new Global Learning Seminar proposals come out each Fall. Proposals are due in during the first week of classes in January for the following year’s programs. The Global Education office will work with you on budgetary planning, logistical factors, curricular issues, and emergency preparedness.

Study Away Program Types

Sponsored study away programs at Allegheny have three different program types. Here is a brief overview of the structure of each program type:

Structured
A structured program typically entails students enrolling in courses with other U.S. students centered around a specific academic theme. Housing and meals are often provided and arranged in advance by the program. These programs often offer directed research opportunities, included academic field trips, and various extracurricular activities. Structured programs are best for students looking for an organized program with classes planned far in advance of their study away program.

Direct Enrollment
A direct enrollment program means that students attend classes alongside local students at a foreign host university. Typically, students must independently apply for housing and meals directly with the partner university. Course options are wide and varied as our students can select classes from the entire undergraduate course catalog. Just like here, some courses are not offered each semester. Students must also follow the host institutions processes for course selection and registration which often follow very different timelines from what our students are used to at Allegheny. The international office of each foreign university is responsible for study away students while they are away. Some cultural activities may be planned by their host institution but much of the travel students may do during their semester will be self-arranged. Direct enrollment programs are best for students looking for an independent study away experience where they are immersed in the local academic culture of a foreign country.

Hybrid
A hybrid program is a mix between a structured and direct enrollment program. Students typically take classes from a mix of options between the study away program and foreign partner universities from that program. Housing and meals will vary by program, and it is up to the student to apply for the appropriate choice. Course options will vary by program as well, however, students will be offered courses both by the study away program provider and local host universities.

Working with Students on Fall/Spring Study Away Program Planning

Planning
During their first and second year, advisors should encourage students to schedule an appointment with the Global Education office. Advisors can also discuss with the student how studying away can integrate into their curriculum and utilize the major-specific advising pages to direct students to determine the best time to study away and what they need to accomplish while abroad.

Application Process
Advisors are expected to complete the “Academic Advisor Approval Form” as part of their advisee’s application (see more info below).

Pre-Departure
Approved study away students are required to take a Module B pre-departure course, EXL 302. Students will complete a “transfer credit approval form” during the course, and advisors will have edit access to this form when completed.

While Abroad
Advisors should be expected to be contacted by their students who are abroad to complete their advising for the semester that they will return to campus. Students currently on a study away program must register for next semester courses while away. They will follow the same guidelines and deadlines as regular students as outlined in the registrar’s website here.

Major Specific Study Away Advising Sheets

The Global Education office has developed a comprehensive list of “My Major & Study Away” guides tailored for students in each academic program. Each guide provides detailed, major-specific advising information to assist students in planning their study away experiences. These guides include important information such as the optimal timing for studying away based on the junior seminar, how study away credits can be applied toward major requirements, and recommended programs suitable for each major. Advisors are encouraged to utilize these guides when advising students on their study away options.

Academic Advisor Approval Form

All Allegheny students who are studying away must ask their academic advisor to complete an Advisor Approval Form as part of their application. The Global Education office cannot approve a student for study away until their advisor has submitted this form. This is to ensure students have been communicating with their academic advisor regarding their planned courses in their study away semester and how to best work on their degree requirements while away. Approval in the form indicates to our office that a student has met the requirements of their department to study away. If there are concerns about the student’s ability to study away and still complete their degree on time or if there are conditions a student must meet before approval can be given, indicate that in the form.

Instructions
Advisors should work with the students regarding their study away course plans during the application phase. If the student needs to complete specific coursework during their time abroad, please indicate that in the “Course Selection Abroad” section of the form. This will indicate to our office that the student should plan for these courses when we work with them on the course selection process during their pre-departure sessions.

If a student has received an exception or if the advisor has significant concerns regarding the student’s ability to fulfill degree requirements while studying abroad, please document these issues in the “Degree Completion” section of the form. This will alert our office that the student requires further written confirmation of these exceptions or concerns, ensuring that they can complete their degree requirements on schedule following their study away program.

Foreign Course Approval and Equivalency

All study away students will have a “Study Away Course Approval Form” created during their EXL 302 pre-departure class. This form will indicate the courses that each student is planning to take during their time away.
