Tech Tip Tuesday – New G Suite Update Improves Active Account Awareness

Today’s tech tip highlights a recent G Suite Update.

When you’re logged into multiple Google accounts, it can be confusing to see which account is active when working on a Google Doc, Sheet, or Slide. It is now easier to identify which account is active when you’re working with these files.

Tech Tip Tuesday – Google Drive Cheat Sheet

Today’s tech tip highlights the Drive cheat sheet brought to you by the G Suite Learning Center.

The cheat sheet can serve as a quick reference guide to help you be more productive when working in your Google drive, and includes instruction on how to:

  • Upload files from your computer and create new documents right in Drive
  • Work with your files stored in Drive
  • Share your files and folders
  • Access files from other devices

Tech Tip Tuesday – Best Practices for File Naming

Keeping your files organized in such a way that you can locate them quickly makes life a lot easier!

Here are five guidelines for naming and organization:

  1. Have a distinctive, human-readable name that gives an indication of the content.
  2. Follow a consistent pattern that is machine-friendly.
  3. Organize files into folders (when necessary) that follow a consistent pattern.
  4. Avoid repetition of semantic elements among file and directory names.
  5. Have a file extension that matches the file format (no changing extensions!)

Tech Tip Tuesday – View the Edit History of a Cell in Sheets

You can now easily view the edit history of a cell in Google Sheets! This includes who made the last edit, when that edit was made, and the cell’s previous value.

To start using Show edit history:

  • Right click on any cell and select “Show edit history” from the dropdown menu.
  • A dialogue box will appear that will show you:
    • The user who last made a direct edit in the cell
    • A timestamp of the edit
    • The previous value and current value of the cell
    • Arrow keys in the top right corner which toggle back and forth between edits

Tech Tip Tuesday – Set Expiration Dates for File Access

Another great one from the G Suite Learning Center!

You have the capability to set an expiration date to limit or end access to any file in Google Drive. Try it out by following the steps below:

  1. In Google Drive, open the file.
  2. Click Share.
  3. Share the file if it is not already shared.
  4. Click Advanced.
  5. Hover over the person’s name and click Set Expiration.
  6. Change the access expiration date.
  7. Click Save Changes and then click Done.
