Managing Applications

As candidates start applying, you will be able to manage their applications through Oracle Recruiting. By using the Actions dropdown, Oracle allows you to sort applicants into different categories, download application packages and send messages to candidates.

Initial Navigation

To start reviewing applications:

  1. From your homepage, go to the My Team tab then select Hiring.
  2. Select the job requisition that you are working on. 
  3. You will see 5 different application counts* at the top of the screen. Please click on the number above Active Applications.

Overview of Application Management

Applicant Statuses

Applicant Statuses are tracked using Phases and States. When applications are first submitted, they will show up in the “New” phase and “To Be Reviewed” as the state. As your search progresses, you can move applicants to new phases and states to indicate where they are in the process.

Phases

    • New: You can place applications into evaluation group A, B, or C 
    • Screen: Use this phase when you are doing phone/video screens.
    • Interviews: Use this phase for your finalists and/or candidates coming for on-campus for interviews

Review Individual Applications

To view an individual’s application, click on their name from the applications page. On the left side bar, you can click the different categories to review different parts of the application.

Attachments

To view the attached documents for your applicants, you will want to click on your desired applicant, select attachments, and change the view to list.

Details

Review education and experience that applicant’s submitted. Your applicant’s contact information like email address and phone number are also available here.

Messages

If you use the Send Message feature to email your applicants through Oracle, all those emails will show up here!

Key Actions

How to Take Action

You can use the Actions dropdown menu to take action on one or multiple candidates. On the applications page, you will use the checkboxes on the side of each application to select the candidate(s) you want to take action on.

Pro Tips:

  • Right next to the Actions button, you can use the top checkbox to select all candidates. 
  • Once you update applicant status (Move Action), you can filter by phase or state to take action on that subgroup of applications. 
  • You can also take the same actions from an individual application.

Update Applicant Status (Move Action)

As you begin to receive applicants, you can begin to filter your applications as they come in.

  1. Select your desired applicant(s) using the checkboxes on the left side of their name.
  2. Click Actions and select Move from the dropdown menu

3. Select the Phase and State that you’d like to move the applicant to.

Download Application PDFs (Print Action)

To download a copy of any cover letter or resume for an applicant you will need to complete a Print action in Oracle.

  1. Select your desired applicant(s) using the checkboxes on the left side of their name.
  2. Click on Actions and select Print
  3. Make sure that the documents and details that you want are checked. Click Print in the top right. 

The information has now been created as an attachment in a zip drive for you to access from your email or bell notification.

Sending A Message/Email

First, select your desired applicant(s) using the checkboxes on the left side of their name. Next, Click Actions and select Send Message from the dropdown menu

Pro Tips:

  • All messages to your applicant are sent from a no reply email address within Oracle. 
  • If you are emailing a small number of candidates and need a direct response, you can email them directly from your Davidson Email.
  • If your position has already been filled, please reference the instructions available on the Post-Offer Next Steps page. 
  1. Candidates

Double-check your send list. Ensure that you haven’t selected your chosen candidates if you are notifying unselected applicants. Cancel and restart if you’ve selected the wrong person.

2. How

  • Use: Always start from a template – you can edit these as necessary.
  • Message template: Select from dropdown menu
    • Blank Message to Start template if you are starting from scratch
    • Use Position Filled if you are notifying unselected applicants

3. Message

Edit/Copy in the message text here. All the templates will address the email as Dear (First Name).

4. Preview

Preview your message and ensure it looks correct. Hit send in the top right corner once you are ready!

You can verify your email went out by spot checking applicants from your list. First, click into their individual application and select Messages on the left side bar. From here, you can see that your message went out.
