ROLE TITLE:   Executive Assistant

POSITION REPORTS TO: Dean for the Student Experience

Summary of Position

This position supports one Cabinet position – the Dean for the Student Experience — and the Maytum Center for Academic Success by providing administrative, clerical, and project support. The executive assistant will keep the dean’s calendar and schedule, and work on projects as assigned, including work supporting the Honor Code and Gator Success Grants. For Academic Success, the executive assistant coordinates office budgetary activities across the various functional areas and takes the lead in event planning. Integrity, confidentiality, and an ability to work outside normal business hours as needed is required.

As the Executive Assistant, you will:

  • Manage calendars, visitors, and phone calls. Communicate frequently with students, faculty, and staff in order to schedule meetings and events for the cabinet member.
  • Support budgetary functions within Academic Success by collecting and uploading reconciled statements and processing invoices/payments.
  • Provide administrative support for the Gator Success Grant Committee by maintaining documentation of requests and funding/non-funding of grants, overseeing associated budget account usage, communicating and coordinating funding results with requestors and colleagues across campus and in the community.
  • Coordinate the logistics of event, meeting, and program planning and facilitation by scheduling space, ordering catering, securing supplies, marketing events, taking minutes, and maintaining documentation.
  • Provide administrative support for various committees and groups on campus as assigned, manage meeting schedules, agendas, and recording minutes.

Experience and Qualifications

  • Associate’s or vocational/technical school degree required; Bachelor’s preferred
  • Minimum 1-3 years experience, 4-7 preferred
  • Experience in an office environment is preferred
  • To perform this job successfully, the Executive Assistant must demonstrate integrity and confidentiality; excellent listening and communication skills; and strong organizational skills. Proficiency with various productivity tools, including the Google Workspace is required.
  • The Executive Assistant will possess the ability and willingness to collaborate productively with diverse groups and work productively and tactfully with students and colleagues. The ability to task switch is essential as is being calm in stressful situations.

YOUR COMPENSATION 

New hires are typically brought into the organization at a salary between the range minimum and the salary range midpoint depending on qualifications, internal equity, and the budgeted amount for the role.

The salary for this position is $46,000 annually. This position is full time, exempt.
