POSITION REPORTS TO: Assistant Provost of Academic Innovation

Summary of Position
The Office Manager for ALIC@Bessemer supports the successful operation and growth of ALIC@Bessemer by assisting in the promotion of programs to regional employers, the cultivation of partnerships, and engagement directly with instructors and students. Serves as a liaison among faculty, students, staff, and multiple Allegheny College departments, the role ensures smooth instructional delivery, responsive student services, and compliance with institutional policies. The position also provides comprehensive administrative and facility support, including event and meeting coordination, fiscal recordkeeping, vendor management, and logistical operations. Through these efforts, the role advances ALIC@Bessemer’s mission to deliver high-quality workforce training and strengthen community and employer engagement. As the primary first line of contact with potential and current students, ALIC instructors, and program stakeholders, integrity, confidentiality, and an ability to periodically work outside normal business hours as needed is required.

Key Responsibilities

Promote ALIC @ Bessemer throughout Northwest PA and Northeast OH.

  • Develop and strengthen relationships with regional employers to promote training programs offered by the branch campus.
  • This includes conducting outreach, presenting program offerings, tailoring communications to organizational needs, and facilitating partnerships that expand enrollment and workforce development opportunities.

Engage and support industry-based ALIC Instructors.

  • Act as a liaison to ALIC Instructors, ensuring that onboarding activities are completed.
  • Provide front-line logistical support, maintain a working knowledge of offerings, collaborate to develop course schedules, and communicate regularly with instructors to address needs and coordinate requests.

Engage and support students.

  • Monitor and respond to inbound student inquiries via web, email, and phone.
  • Maintain and periodically report on student course purchases and registrations.
  • Ensure timely and frequent communication with registered students leading up to course start dates, greet students upon arrival for initial classes, and respond to (or escalate) any student needs identified.

Provide front-line administrative support to branch campus management and staff.

  • Provide comprehensive front-line administrative support to branch campus management and staff, ensuring efficient daily operations.
  • Responsibilities include scheduling meetings and events, managing calendars and correspondence, and supporting electronic and technology needs such as file management, reporting, website updates, and database data entry.
  • Offer full secretarial support through document preparation, mail distribution, supply management, and office coordination, while also overseeing operational tasks including purchasing, personnel items, travel arrangements, compliance documentation, and logistical support within the building.

Administer campus events and coordinate related logistical operations.

  • Coordinate the logistics of events, meetings, and programs by scheduling space, arranging catering, securing supplies, marketing activities, preparing agendas, recording and editing minutes, and maintaining documentation.
  • Oversee accounting responsibilities including fiscal recordkeeping, monitoring and reporting on budget accounts, submitting purchase orders, handling petty cash and credit card statements, and ensuring timely collection and deposit of funds.
  • Manage and coordinate campus visits and tours to support recruitment and engagement efforts.

Provide daily, on-site management of the facility.

  • Submit and track facility work order requests with Physical Plant, and serve as steward for the building’s asset inventory, including equipment, tooling, and materials.
  • Oversee room and facility reservation requests from the college community, troubleshoot building concerns, and coordinate timely resolution of facility needs.
  • Manage vendor relationships and accounts, including scheduling of routine machine maintenance

Liaise and Coordinate with other Allegheny College departments and committees.

  • Serve as liaison with multiple Allegheny College departments, including but not limited to Human Resources, Finance, IT, Facilities, Provost Office, Registrar, Financial Aid, and Public Safety, to ensure compliance and smooth operations.
  • Support ALIC@Bessemer activities by attending committee meetings and events, coordinating communications, managing registrations, and overseeing related program logistics.

Experience and Qualifications

  • Bachelor’s degree required; Master’s degree preferred.
  • 1–3 years of related experience required; 4–7 years preferred.

Required Knowledge

  • General knowledge of higher education operations, academic programs, and student services.
  • Administrative and financial processes, including budgeting, purchasing, and compliance.
  • Event planning, communications, and community or employer engagement practices.
  • Proficiency with office technologies, databases, and basic facility management systems.

Required Skills

  • Proficiency in word processing, Windows applications, spreadsheets, database data entry, desktop publishing, and basic accounting.

Required Abilities

  • Ability to build and maintain effective relationships with faculty, students, staff, and external partners.
  • Ability to manage multiple priorities, deadlines, and projects with attention to detail.
  • Ability to communicate clearly and professionally, both verbally and in writing.
  • Ability to analyze problems, identify solutions, and exercise sound judgment.
  • Ability to adapt to changing needs and work independently as well as collaboratively in a team environment.

Compensation
Starting salary will be competitive, based on the candidate’s qualifications and experience.
