Tech Tip Tuesday – New from Gmail: Search Chips

Announced last February by the G Suite Team, search chips are a new feature available in Gmail.

Search chips provide an easier way to sort and filter search results in your email to easier find what you’re looking for.

For example, you can search a colleague’s name, and then further narrow your results by selecting the search chips that appear below the search box:

RefWorks downtime

ExLibris is moving the RefWorks data center to a new server on December 21, 2019.
We are expecting a downtime of up to 10 hours for both legacy RefWorks and (new) RefWorks. This has been communicated to all users through the in-app announcement feature since November.
 
Downtime for: Legacy RefWorks and (new) RefWorks.
 
When: Starting 11:00 p.m. on Friday, Dec 20, and for up to 10 hours.

Changes to TMS / Nelnet Login

Students – On Tuesday, November 26th, signing into the TMS / Nelnet Student Account Center in WebAdvisor will look different. Authentication (signing in) will now work via the Google SAML protocol. This means that the sign in screen may look a bit different but you will continue using your Allegheny login information. If you are already signed on to a Google service like Gmail, you will seamlessly enter into the site without the need for login information. If you are having difficulty signing in, do not hesitate to come to the InfoDesk for assistance.

Windows Upgrades and Retiring the O Drive

Microsoft will be officially discontinuing product support for the Windows 7 operating system on January 14, 2020.  This will affect the Allegheny community in two ways.  

  1. Any employee PC or laptop running Windows 7 will be disconnected from the network.  If you are still on Windows 7 please contact the InfoDesk so that we can schedule the upgrade to your computer.
  2. The legacy file storage system, the O Drive, also needs to be retired, as its operating system is no longer supported by Microsoft.  Files stored on the O Drive will no longer be accessible. LITS worked with individual departments to prepare for this retirement. LITS is prepared to provide additional support with file storage; simply call the InfoDesk and let us know.

Remember: these changes will go into effect January 15, 2020.    We want to make this transition smooth for everyone and we look forward to working with you to make that happen.

Recent phishing attempts

A recent phishing attempt was brought to the attention of LITS by several in the community. The message claimed to be coming from a college employee. The fact that the message did not come from allegheny.edu is what helped to identify the phishing attempt.

This particular attempt used messages like “Are you available?”, which are designed to engage the recipient in an exchange with the hacker. Best practice, if you are unsure whether the message is legitimate, is not to engage or reply.

This was a good reminder to the Allegheny community to be cautious when receiving unexpected emails.

If you get a message you think is phishing/spam you should:  

  1. Not click on links in the message
  2. Follow up by other means.  
  3. Report it as spam/phishing in Gmail

LITS always encourages safe account practices and would encourage you to visit the LITS website to change your password if you ever feel that your account credentials have been compromised.  In addition, two-factor authentication is an added layer of protection against this possibility.

Pelletier Library Open 24/7

To help students who need library access during finals week, Pelletier Library will be open around the clock starting Tuesday, April 30th. The library will stay open 24 hours a day until 7:00 p.m. on Tuesday, May 7th.

Allegheny College ID will be required as usual after 10 p.m. for entry. Limited services will be available after 11:30 p.m.

Ebook Central Scheduled Product Downtime

On Saturday, April 20, scheduled maintenance for ProQuest Ebook Central will occur. This maintenance will take place from 12:00pm to 2:00pm (lasting approximately 2 hours). During this time Ebook Central will be unavailable.

Printing Unavailable Tuesday Night

Across campus, printing may be unavailable the evening of Tuesday, March 19th between the hours 5:30 and 6:30 due to scheduled maintenance.
