Canvas Storage Tips

Each Canvas course has a limited amount of file storage allotted to it. Multimedia files such as videos, audio files, images, and presentations (e.g. PowerPoint or Google Slides) can be especially large and should not be stored in your Canvas course. Instead, you should store these files in your Allegheny account’s Google Drive, which currently provides you with unlimited storage space. Storing Files in Google Drive

Create a folder in your Google Drive for each of your courses and store your course files in that folder. There are then several ways that you can make these files available to students:

  • Add a link to the file using the Rich Content Editor
  • Use the Google LTI tool in Canvas to embed a file (see these slides for instructions).

Meet and Zoom Recordings

If you are using Meet or Zoom, you should also plan to store any recordings in the Drive folder that you created for your course. This is especially important for Zoom recordings as we have limited storage in Zoom.

  • Meet recordings are automatically stored in your Drive in the Meet Recordings folder. To move the file to your course folder, right-click on the file name and select Move to. You can then navigate to the course folder and select Move Here.
  • For Zoom recordings, first sign into your Allegheny Zoom account at allegheny.zoom.us. In the left-hand menu, select Recordings and then find the recording you need to download. Click on the three dots to the right of the file name and select Download. The downloaded files will be a video file (.mp4), an audio file (.m4a), and a transcript file (.vtt), if the transcript was enabled. Most commonly, you only need to save the video file and can delete the others. It’s a good idea to rename the video file so that it is easily identifiable.

    Once the file(s) are downloaded to your computer, you can upload them to your course folder in Drive and share them with students from there.
